Bestax Accountants Simplifies HST Number Registration for Ontario Business Owners

Mississauga, Ontario, October 15, 2026 – Bestax Accountants now takes Ontario business owners through how to register for an HST number, handling every step on their behalf. The work runs from the first revenue check to the first return filed with the Canada Revenue Agency (CRA).

The firm’s guide to registering for HST in Ontario sets out when registration becomes mandatory and what the CRA asks for.

Most Ontario owners know HST exists. Fewer know the exact day their obligation starts, and that date decides how much tax they owe.

Bestax registers clients through the CRA’s Business Registration Online service, sets the right effective date, and files every return that follows. Owners keep running the business while the firm keeps the HST account in order.

When an Ontario business must register

Registration depends on one number. A business that earns more than $30,000 in taxable revenue over four consecutive calendar quarters stops being a “small supplier” under CRA rules.

How you cross the $30,000 line changes the start date:

How you pass $30,000 When you stop being a small supplier When HST starts
In a single calendar quarter On the sale that takes you over From that sale
Over four quarters, but not in one At the end of the month after that quarter From your first sale after that date

Either way, you must register within 29 days of your effective date. Ontario’s HST rate is 13% on most taxable sales.

Some businesses must register from day one, regardless of revenue. Self-employed taxi and ride-sharing drivers register from their first fare, and certain non-residents selling admissions to Canadian events register before their first sale.

What happens when registration comes late

Missing the threshold does not erase the tax. The CRA treats HST as owed from the effective date, whether or not you charged it to customers.

Take an Ontario marketing consultant who earns $6,000 a quarter for three quarters. In the fourth quarter, the consultant bills the usual $6,000 in October, then invoices a new client $26,000 on November 10.

That November invoice takes the quarter to $32,000, past $30,000 in a single quarter. Because the line was crossed within one quarter, HST applies from the November 10 invoice itself.

The consultant owed 13% on that invoice, which is $3,380. If the invoice went out without HST, the money comes from the consultant’s own pocket, not the client’s.

We recommend checking revenue at the end of every quarter, not once a year. A single large contract is the most common way small businesses cross the line without noticing.

How Bestax handles HST registration

Bestax handles the registration from start to finish. The team follows the same process for every client:

  1. We review the last four quarters of taxable revenue and pinpoint the exact effective date.
  2. Our team gathers the business details the CRA requires, including owner names, social insurance numbers, addresses and the main business activity.
  3. We register the business number and GST/HST account together through Business Registration Online. Most owners receive their number the same day.
  4. We set the fiscal year and reporting period, then add the account to the client’s CRA business account for ongoing filing.

The CRA does not mail the business number after an online registration. Bestax saves the confirmation and keeps a copy on the client’s file, so the number is never lost in a browser session.

Some owners cannot use the online service. Directors, partners and trustees with a temporary social insurance number starting with 9 must file Form RC1 instead. Bestax prepares that form when it applies.

Voluntary registration below $30,000

Businesses under the threshold can still register. Voluntary registration lets you claim input tax credits, which return the HST you pay on business expenses such as equipment, software and rent.

The tradeoff is real. Once registered, you must charge 13% to every Ontario customer and file returns, even in a quiet year.

Registration usually makes sense for businesses that:

  • Sell mainly to other HST-registered businesses, which claim the tax back
  • Have high startup costs with HST included
  • Expect to pass $30,000 within the next year

Registration usually does not make sense for small businesses selling to consumers, where 13% raises the price customers actually pay. Bestax runs the numbers both ways before an owner commits.

Filing and remitting after registration

The HST number is the start of the obligation, not the end. The CRA assigns a reporting period based on annual taxable sales:

Annual taxable sales Assigned reporting period
$1.5 million or less Annual
Over $1.5 million up to $6 million Quarterly
Over $6 million Monthly

Monthly and quarterly filers have one month after each period to file and pay. Most annual filers have three months after their fiscal year end, according to the CRA’s reporting deadlines.

Sole proprietors with a December 31 year end get a different schedule. Payment is due April 30, while the return itself is due June 15.

Electronic filing has been mandatory for most registrants since January 1, 2024. Bestax files through the CRA’s Represent a Client service, so clients do not need to learn a new portal.

“Owners rarely miss HST on purpose. They miss the date they crossed $30,000,” said Irfan Imtiaz, APFA, CA, Senior Accountant and Tax Consultant at Bestax Accountants. “We set the effective date correctly from the start, and every return after that follows from it.“

Why Ontario owners hand HST to Bestax

HST touches bookkeeping, invoicing and corporate tax at the same time. Bestax keeps all three under one team, so the HST return matches the books and the T2 return.

The firm handles GST/HST registration and return filing alongside bookkeeping, payroll, year-end financial statements and T2 corporate tax. When the CRA reviews a return, Bestax responds on the client’s behalf.

Owners who fell behind are a common case. A business that missed its registration date needs three things: a review of past invoices, a calculation of the HST owed, and late returns filed. Penalties and interest keep growing until then.

Bestax’s catch-up bookkeeping team rebuilds the records first, then files the outstanding returns. Fixing the problem before the CRA contacts you keeps the options open.

Every engagement starts with a fixed fee agreed upfront, so owners know the cost before any work begins.

Owners who are close to the threshold, or unsure whether they crossed it, can book a free 20-minute call with a Bestax accountant.
